How does a fee receivable become Paid?

Online collection needs the firm’s merchant account, an eligible invoice and a verified provider result. Opening checkout or receiving a callback token alone does not mark an invoice Paid.

Invoice status map

Draft, Sent, Overdue and Paid are invoice states; Pending, Under Review, Succeeded and Failed belong to payment records. Sent does not establish email delivery to the client or GİB acceptance of an e-document.

The saved tenant provider context retrieves the result; verification and invoice/amount/currency matching precede application. A failed attempt does not close the invoice. Eligible Sent invoices may become Overdue when the configured worker processes them after the due date.

Invoice status

  1. Draft

Draft is not payable; prepare lines and tax information.

  2. Sent

Payment eligibility is checked separately; this label proves no delivery.

  3. Overdue

Eligible overdue rows depend on worker processing.

  4. Cancelled

    The invoice was voided.

Payment status

  1. Pending

The client was sent to the payment page, no result yet.

  2. Under review

The payment provider is still checking.

  3. Succeeded → Paid

The successful result is verified and applied to an eligible invoice.

  4. Failed

Verified failure does not close an invoice; uncertainty is a separate concern.

Payment results, checkout uncertainty and invoice states are separate. The saved provider result must be verified and applied before Paid; opening an external browser proves no payment.

Fee models and the legal ground for collection

Determine the fee model and fiscal documentation separately from software checkout. Have a qualified adviser assess the Attorneyship Law (opens in a new tab), current tariff, professional rules and contract for the actual matter.

This guide approves no percentage fee, lower/upper limit or current tariff amount. Software calculation does not establish legal or fiscal suitability.

Online checkout is a collection method. The firm’s iyzico account and service terms must separately be valid; platform subscription payment is distinct from collecting a client invoice.

Invoice and VAT maths

Invoice lines are entered manually; time or expense records do not become lines automatically. A number may be manual or allocated from the eligible tenant series. E-document submission is a separate queue after connection, data and permission checks; queuing is not GİB acceptance.

The adjacent calculation is a simple single-rate example without deductions. Actual calculations may include per-line VAT, VAT withholding, income-tax withholding and rounding. Assess rate/code and document suitability with your accountant.

Keep expenses (court fees, notification costs, expert advances) as separate lines from the fee. The tax treatment of an expense can differ from that of a fee, so ask your accountant about that too. A separate line lets the client see exactly what is being paid and lets you read fees and expenses apart.

Due-date policy

The user sets the due date; the example 14 days is not a system default. The worker may mark eligible Sent invoices Overdue after their due date; no exact-boundary transition or client reminder is guaranteed.

Write the policy into the agreement and keep it simple. One default due period, no due period for fees taken up front, and staged invoices for long matters cover most situations. Every exception is something someone has to track manually.

The longer the due period, the later the Overdue signal arrives. That is a choice, not a rule; watch the period you picked in the collection-rate report and change it if needed.

The payment link and the client experience

New collection uses the tenant’s active/default iyzico merchant connection, without platform-subscription-account fallback. An authorized member starts hosted checkout using an eligible invoice total and buyer profile. No separate anonymous client invoice portal is implied.

Before sending the link, check the amount, the name on the invoice and the due date; the client will compare the figure on the link with the figure on the invoice. When you send the link by email or message, add one short sentence: what the amount is for, the last payment day and whom to write to with questions.

The payment-completed event may queue a notification for the company user. This is not automatic client confirmation. Delivery depends on preferences, provider, permission, address/device and quota conditions; manage client communication separately.

Card data and security

Card entry in this flow takes place on the provider-hosted page; Vekilaw initiation does not request card numbers, expiry dates or security codes. This certifies neither all provider retention practices nor PCI compliance.

Consider data minimization alongside company access/role controls and an assessment of personal-data obligations (opens in a new tab). Using software alone establishes no KVKK compliance approval.

The callback token is only a signal. The system queries the saved tenant provider context, verifies the result and matches amount/currency/invoice before applying an eligible outcome. Review the security scope separately.

07/14

Failed payments and retries

Verified failure, pending/under-review results and initiation uncertainty differ. Browser closure or a network timeout does not prove the provider collected nothing. Do not force a retry while the outcome is unresolved.

A failed result does not close the invoice. Retry eligibility depends on the existing attempt and invoice state; an active or uncertain attempt may block repeat initiation.

Resolve the outcome from provider and payment records first. After definitive failure, assess an eligible retry or another collection method under firm control; avoid collecting the same invoice twice.

Bank transfer and online payment side by side

The two ways to pay the same invoice are compared row by row. A bank transfer or EFT is the alternative route when a card payment does not go through.

Bank transfer or EFT

  • Card data

None; the payment is made at the bank.

  • What the client sees

The firm's account details and a payment reference.

  • How the invoice closes

The firm checks itself that the payment reached the account.

  • Reconciliation

The firm matches the bank movement with the invoice.

  • Alternative route

Online payment

  • Card data

Initiation screens have no card fields; enter card details on the provider-hosted page.

  • What the client sees

A payment link tied to the invoice, and the amount.

  • How the invoice closes

Requires a verified provider result and invoice matching after the token signal.

  • Reconciliation

Check provider and bank records separately; dashboard totals are not bank reconciliation.

  • Verified payment

09/14

Late payments and the automatic Overdue status

Overdue updates depend on invoice eligibility and worker conditions. Processing time, worker/database access and backlog can vary; do not assume an exact change at the deadline.

Refresh invoice and payment state before communicating. Check checkout remains usable; links are not promised to be single-use, permanent or payable again from every old message.

If your agreement contains late-payment interest or a similar clause, weigh your client relationship and your fee agreement together before applying it; that decision is yours, not the system's. When lateness repeats, rethinking the due period, taking more up front or invoicing in stages is often more productive than penalising.

Partial payments and instalments

Staged service fees, partial payment of one invoice and card installments are different processes. Assess document and amount timing with qualified fiscal/legal support; this flow creates no automatic staged contract or collection plan.

Vekilaw does not choose an installment plan in this flow. Options and commissions on hosted checkout depend on the valid merchant account and provider terms; this guide guarantees no option.

Current online collection requires an eligible TRY invoice’s full total; an arbitrary partial amount cannot be submitted. Assess staged invoices, installments, commission and refunds separately against contract, provider and fiscal/legal suitability.

11/14

Reconciliation and the collection rate

The ratio below is illustrative arithmetic for one period, basis and cohort. Check the report’s filters and metric definition separately; different periods, drafts, cancellations or currency data need not yield the same result.

In the example beside this section a month has four invoices with a VAT-inclusive total of ₺36,000. Three are paid and one is Overdue. Collected is ₺31,200, so the rate is about 86.7 percent. Check the same figure against the Overdue list: 36,000 − 4,800 = 31,200.

Compare provider, bank and Vekilaw records separately. Check the verified success reached the correct invoice, duplicates/missing records and refreshed lists. A report view alone proves neither bank reconciliation nor profitability.

Notifying the client

Client invoice/checkout sharing, due-date communication and collection confirmation are separate firm-managed steps. The payment-completed event targets the company user; automatic client messages across every channel are not promised.

Choose the channel by the client's preference. Write down beforehand which content goes through which channel, and send the payment link only to the channel the client gave you. The notifications module lets you manage channels in one place.

Do not request card, identity or case details in messages. Check recipients and message scope before sending, and assess confidentiality/personal-data duties in the firm’s communication policy.

Collections discipline: a monthly routine

Online payment works through habit more than through tooling. The routine below is kept simple enough for a small firm to repeat monthly and can be scaled to a law firm of any size.

At the start of the month read last month's collection rate and open the Overdue list; write an owner and a next-step date against every late invoice. Mid-month, remind clients whose due dates are close. At month-end reconcile against the payment provider's records and either send or delete the invoices still waiting in Draft.

The rhythm comes down to three questions: was every invoice that should have been issued issued, was every sent invoice paid, and is the next step written down for every unpaid one? If the answers are not on paper, collection is left to chance. The online payments module runs the payment side; the discipline is in your calendar.

Frequently asked questions about online payments

  1. 01

Can a lawyer in Turkey collect fees from a client by card?

An authorized user starts this flow with the firm’s valid iyzico connection and an eligible invoice. Card entry is hosted by the provider. This guide approves no fee or collection method’s legal/fiscal suitability for a specific matter.

  2. 02

    Who pays the iyzico commission?

This guide provides no commission rate or permission to pass a fee to the client. Assess provider terms, applicable regulation and fiscal/legal suitability separately; software does not reconcile commissions automatically.

  3. 03

What happens to the invoice if a payment fails?

A failed result does not close the invoice. Retry eligibility depends on the existing attempt and invoice state; an active or uncertain attempt may block repeat initiation.

  4. 04

When does an invoice become Paid?

The callback token is only a signal. The system queries the saved tenant provider context, verifies the result and matches amount/currency/invoice before applying an eligible outcome. Review the security scope separately.

  5. 05

Are card details stored in Vekilaw?

Card entry in this flow takes place on the provider-hosted page; Vekilaw initiation does not request card numbers, expiry dates or security codes. This certifies neither all provider retention practices nor PCI compliance.

  6. 06

How is the collection rate calculated?

The sample 86.7% is 31,200 ÷ 36,000. Check report scope, period, amount basis and refresh state separately; the ratio is not bank reconciliation.
