Documents and their versions together.
Upload a document to an authorised branch and optionally link it to a case. After file checks and scanning, follow versions, generate supported templates and create a share link with expiry.

Follow the version history.
Uploading a new file version increases the version number. Restoring an available earlier version saves that content under a new version number. Availability of history depends on deletion and retention rules.

- v1
First draft from a template
08.09.2026 · 09:30Example template output: supported placeholders are filled from selected, authorised records.
TemplateScan: clean
Scan, version and link share one row.
Uploads are checked for file type, content, the 25 MiB per-file limit and plan storage quota. A new file is not stored without a clean scan result; an unavailable scanner does not count as acceptance. See document security.
In the generation form, select the required records and PDF or DOCX format. Supported placeholders are firm name, client name, case number and date; other record fields are not automatically merged. Generated files also pass upload checks and scanning. A share link opens the version selected when it was created.
Choose a category when uploading. Linking a case is optional and subject to case access and branch conditions. Follow linked records in case management.
- Scan
- A clean document is stored. A file that does not scan clean never gets in.
- Version
- Restoring an earlier version creates a new version. Deletion and retention conditions apply.
- Link
- Opens this document only. No other record of the file is visible.
The path of one document
It starts from a template or a file, then goes through scanning, the list, sharing and a new version.

03/04Archive
The archive follows your retention rule.
Deleted documents leave the lists. Retention settings affect the restoration window and permanent clean-up of deleted records; they do not automatically delete active documents because of age. Legal retention obligations require separate assessment.
- Retention
- A deleted document is not destroyed at once: it is marked as deleted first and leaves the lists. Permanent clean-up follows your rule.
- Custom fields
- You define fields such as case number, delivery method or internal reference yourself, as text, a choice list or a required field.
- Search
- The search record derived from document name and description is included in global search; indexing can be delayed. Do not assume document-content, OCR, client-name or linked-case-number searches are supported for documents. Results remain subject to access conditions.
- Access
- Preview and file download require document read permission and access to the record. Exporting list metadata also requires export permission. See roles and permissions and security and KVKK.

What do firms ask about document management?
Which file types can I upload?
Uploads such as PDF and supported office and image files are subject to type, extension, content, the 25 MiB size limit, quota and scanning conditions. A failed or incomplete scan does not count as file acceptance.
What does a client see through a share link?
The link is pinned to the document version selected when it was created; later uploads do not change its content. Anyone with the link and its password, if set, can access that version, without opening other documents, notes or records. Expiry or revocation prevents subsequent access; it does not erase copies already downloaded.
Do firm details fill into templates automatically?
Only supported placeholders used in the template are filled: firm name, client name, case number and date. Select the required records with appropriate access and generate PDF or DOCX. This does not automatically fill every field in an arbitrary uploaded Word file.
If I return to an earlier version, are the other versions lost?
Restoration saves the earlier content under a new version number. For example, restoring v1 content while v3 is current creates v4. The selected version must remain available; deletion and retention rules affect the availability of history.
Does a deleted document come back?
A user with restoration permission can restore a deleted document before its retention window expires and permanent clean-up starts. Expiry or clean-up can prevent restoration; recovery of every deleted file is not guaranteed.
Can I attach documents in bulk from an Excel list?
Use the data migration wizard for supported CSV/XLSX record lists. This does not bulk-upload document files or automatically attach them to cases; document upload is a separate operation.
What happens to documents whose retention period has expired?
Retention applies to restoration and permanent clean-up of deleted documents. Active documents are not automatically deleted solely because of age. Permanent clean-up depends on background processing; it is not approval of a legal retention period.
Who can see and download a document?
Preview and file download require document read permission and record access; list export also requires export permission. A share link is created separately and opens the selected version. See roles and permissions and document security for scanning and e-signature scope.
